Minutes from November meeting read by Dan. Motion to approve without changes by Brandi, second by Jerry. All approved.
Treasurer’s Report:
- Our account: Balance at beginning of December: $1,520.97. Expenses for the month: play costs (payments to techs) and deposit for film fest. Balance at end of December: $1,108.47.
- OUTfront account: Balance at beginning of December: $3,257.20 (includes $2,000 CMAB grant for Film Fest). Expenses for the month: play costs: $411.73. Balance at end of month: $2845.47.
- Motion to approve treasurer’s report: Made by Thomas, second by Mike. All approved.
Old business:
Play financial committee:
- Gary presented handout showing income and expenses for Joseph and the Old Man. Summary: Income: $2,385.89, Expenses: $4,451.84, leaving a total cost to St. Cloud OUT of $2,065.95.
- At this point, only unpaid expenses are $300.84 to Paramount and remaining director’s fee to Troy (we have paid him $250 so far).
- Motion: SC-OUT will endorse in full the letter sent by the Financial Committee to Troy, in which it was agreed to pay him a total of $350 for director’s fees. Made by Ozzie, second by Jerry. All approved.
- Motion: SC-OUT will pay Troy the additional $100 owed to him as soon as possible. Made by Gary, second by Mike. All approved.
- Larger SC-OUT group wished to thank the committee for the work they did regarding the play finances.
Film Festival:
- Movies: Eating Out and a series of lesbian-themed short films (9-20 min. each). Costs: $500 for EO and another $500 (plus postage) for shorts.
- All the Pretty Horses will play after the films. Cost $400 plus tech costs (not yet finalized)
- George Maurer will not be available to play in the lobby. Looking for someone else.
- Funding so far: SCSU GLBT services will pay for EO. $2000 grant from CMAB for general expenses. Also selling ads for the program.
- Ads: so far have sold three for sure. Will keep working on that. Hoping to sell up to 16 ads.
- Costs for film fest: films/band, Paramount rental ($850), technicians, printing and publicity.
- Advertising/publicity: making contacts with several print sources including Lavender and SC Times. Also working with SCSU GLBT services to coordinate with student conference that weekend.
- Mike contacting SCSU Pres. Saigo to be guest speaker, open film fest.
- Need additional help with:
-- Posters: Jerry will create it once Mike gets the publicity materials from different films to him.
-- Program: Gary S will create.
-- Press Release: Brandi will write it.
-- Distribution of posters/publicity: EVERYONE. Distribution needs to happen around 1/31.
Resource Directory:
- Six responses in so far.
- SCSU GLBT services consolidating, will no longer have individual entries for student groups.
- Have yet to hear from PRISM, Lutherans Concerned.
- Women’s Group info the same.
- FAQ possibilities: some questions have come in. Table for now.
Meeting Space:
- ULC may be reconsidering the charge for use.
- Whitney still not available on Thursday eves.
- Stephen and Dan will check on church costs.
New Business:
Philosophical question:
- Steve proposed we review mission statement and discuss types of events/issues/activities that we should be doing with SC-OUT. Suggested we discuss this at March meeting.
- Steve from SCSU GLBT services is forming an advisory committee for the student groups and asking for community members to participate. Would like a representative from SC-OUT. Mike will forward the e-mail. Stephen will talk with Steve about this.
Pride Committee:
- Need to form committee
- Can SC-OUT have other SC area org. info at our booth (ie those groups listed in our Resource Directory). Mike will check on this.
- Motion to spend up to $100 to secure Pride booth as soon as registration is open. Made by Brandi, second by Stephen. All approved.
- What to have at booth? Past discussion included history posters. Joe will review old minutes to report back to the group on what was discussed.
Business cards and letterhead:
It would be useful to have these for the group. Task given to Resource Committee. Brandi will forward to Jerry some of the things already designed for SC-OUT.
For May (Annual) Meeting:
Set up procedure to add to bylaws regarding cancellation of meetings. Also, question regarding who is on the advisory committee. Will send bylaws as an attachment to Jan. minutes.
